What is the difference between a room controller and a scheduling display?

A room controller operates the video conferencing system inside the room. A scheduling display is mounted outside to show availability and calendar information. Some panels support either role, but one device does not normally perform both at once.

How do I know whether a controller will work with my room system?

It must support the conferencing platform, room-system model and operating mode. Determine whether it connects directly, communicates over the network or pairs through the meeting platform, and whether it is included or purchased separately.

Does a scheduling display require a calendar account or license?

Most scheduling displays connect to a room resource in Microsoft 365, Google Workspace or another supported service. Licensing depends on the scheduling platform and features such as check-in, room release, analytics and management.

Should a panel use PoE, Ethernet, Wi-Fi or separate power?

PoE can provide power and network access over one cable when the panel and switch support it. Wi-Fi panels still need dependable power. The correct approach depends on the device, cabling, network design and mounting location.

What should I consider when selecting a mount?

Choose a mount for the exact panel, location and intended use. Consider orientation, viewing angle, cable entry, power access, serviceability and whether public areas require hardware that discourages removal.

How do room check-in and automatic release work?

A scheduling system may require users to check in. If no one checks in during the allowed period, the room can be released. Some systems also use occupancy data. Policies should be tested so active rooms are not released incorrectly.

Can users reserve a room directly from the scheduling display?

Many systems allow immediate reservations, extensions or later bookings from the panel. Available functions depend on the scheduling application, calendar permissions and administrative policies.

How can we standardize controllers and schedulers across locations?

Define the platform, controller, scheduler, mounting, power, network, accounts, licenses, check-in policies, management and support procedures. Document site-specific exceptions without changing the familiar user workflow.
